Privacy Policy
Last updated 27 August 2026
The short version. If you join the waitlist we keep your name, work email, phone number and company so we can contact you about Lotic. That's it — we don't sell it, share it for advertising, or send you anything you didn't ask for.
We count visits to this site with our own software rather than an analytics vendor. It sets no cookies and stores nothing that identifies you.
Want your details removed? Email admin@lotic.sh and we'll delete them.
1. Who we are
Lotic is freight quotation software operated by Beyond Borders Express ("we", "us", "our"). This policy explains how we handle personal information collected through lotic.sh — the marketing site and the waitlist form on it.
It does not cover the Lotic application itself. Data that customers put into the product — their enquiries, rate cards, quotes and their own customers' details — is handled under the agreement with that customer, who remains responsible for it.
2. What we collect, and why
If you join the waitlist
The form asks for four things, all of which you type yourself:
| What | Why |
|---|---|
| Name | So we know who we're talking to. |
| Work email | To reply, and to send your invitation when a place opens. |
| Phone number | Freight moves by phone. It's how we follow up. |
| Company | To understand what you'd need Lotic to do. |
Alongside those, the submission records the page address you submitted from, your browser's user-agent string, and your IP address. Those three are kept to tell a real signup from an automated one and to enforce the rate limit that stops the form being abused.
When you simply read the site
We count page views using our own software running on our own server — not Google Analytics, and not any other third-party tracker. Each view records:
- the page path (for example
/); - the site that linked you here, reduced to a bare domain name such as
google.com— never the full address, which is where other people's private query strings tend to live; - whether you're on a phone or a larger screen; and
- a one-way hash of your IP address and browser, mixed with that day's date and a secret.
That last one deserves a plain explanation, because it is the part that makes this work without tracking you. It lets us tell "one person loaded five pages" apart from "five people loaded one page each". Because the date is mixed in, the value your visit produces today and the one it would produce tomorrow are unrelated, and neither can be turned back into your IP address. We cannot use it to recognise you, follow you between days, or match you to anything else. No cookie is involved and nothing is stored on your device.
Cookies
One cookie, lotic_cookie_consent, remembers the choice you make in the consent bar so we don't ask again. Your choice is also saved in your browser's local storage. Full detail is in the Cookie Notice.
Server logs
Like any web server, ours records incoming requests — IP address, time, page requested, and the browser's user-agent — so we can diagnose faults and identify attacks. These are operational records, kept briefly and not used to build any profile.
If you email us
Mail to admin@lotic.sh reaches a mailbox we run on Google Workspace. We keep correspondence for as long as it's useful to the conversation and our records.
3. What we don't do
- We don't sell personal information, and we never have.
- We don't share it with advertising networks or data brokers.
- We don't run advertising or marketing trackers on this site.
- We don't add you to a mailing list because you filled in the waitlist form. Joining the waitlist means we'll contact you about Lotic — not that you've subscribed to a newsletter.
- We don't use waitlist details for any purpose other than talking to you about Lotic.
4. Who else is involved
Running a website means a small number of other companies necessarily handle some data. Ours are:
- Our hosting provider. This site and its database run on servers we rent. The provider can technically access the machines, as any host can.
- Google Workspace. Our
@lotic.shemail runs on it, so anything you email us passes through and is stored on Google's systems. - Google Fonts. The typefaces on this page are loaded from Google's servers, which means your browser tells Google your IP address and roughly which page you're on. We're aware this is the one third-party request left on the site and intend to serve the fonts ourselves.
Some of these companies store data outside Australia, including in the United States. Where that happens we rely on the provider's contractual protections.
5. How long we keep things
- Waitlist entries: until you ask us to delete them, or until they're no longer relevant — whichever comes first.
- Page-view records: at most 400 days. They contain no identifiers by then or now.
- Server logs: a short operational window.
- Email: as long as the correspondence is relevant to our business records.
6. Keeping it safe
The site is served entirely over HTTPS. The database is not reachable from the internet. Access to waitlist entries requires an operator login on a separate, non-public console, and the public form is protected by rate limiting and length limits so it can't be flooded or used to probe whether an address is already on the list.
No system is perfectly secure, and we won't pretend otherwise. What we can say is that we collect very little, which is the most reliable protection there is.
7. Your choices and rights
You can ask us to:
- Show you what we hold about you;
- Correct anything that's wrong;
- Delete it — for a waitlist entry we'll do this on request, no reason needed.
Email admin@lotic.sh and we'll action it. There's no charge and no form to fill in.
If you're in the UK or European Economic Area, you also have rights to object to processing, to restrict it, and to receive your data in a portable format. Our basis for holding waitlist details is our legitimate interest in responding to someone who asked to be contacted — and you can withdraw from that at any time by asking us to delete the entry.
8. Complaints
If you think we've mishandled your information, tell us first at admin@lotic.sh — we'd rather hear it and fix it. If you're not satisfied with how we respond, you can complain to the Office of the Australian Information Commissioner at oaic.gov.au. Visitors in the EEA or UK may complain to their local data protection authority.
9. Children
Lotic is software for freight forwarding businesses. The site isn't directed at children and we don't knowingly collect their information.
10. Changes to this policy
If we change how we handle personal information we'll update this page and move the date at the top. Lotic is in private beta and the product is still taking shape, so this is likely to happen more than once. Material changes affecting people already on the waitlist will be emailed, not quietly edited in.
11. Contact
Questions about any of this: admin@lotic.sh.
12. Do Not Track and Global Privacy Control
Some browsers send a Do Not Track (DNT) header, and some send a Global Privacy Control (GPC) signal, to say you don't want to be tracked across websites or have your information sold or shared.
There is nothing here for those signals to switch off. We don't track anyone across websites, we run no advertising or marketing trackers, and we don't sell or share personal information — as set out in section 3. The page counting described in section 2 cannot identify you or follow you between days, whether or not you send either signal. We therefore treat DNT and GPC as already satisfied rather than changing our behaviour when we see them.
The one cookie we set, lotic_cookie_consent, records a choice you made yourself and is not affected by these signals.
